Privacy Policy

This privacy policy explains how LS Lettings collects, uses, shares and protects your personal data, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. It applies to enquirers, applicants, tenants, guarantors and landlords who deal with us. Last updated June 2026.

Who we are

Information we collect

The information we collect depends on your relationship with us:

  • Enquirers – your name, contact details, the property or service you are interested in, and the content of your message.
  • Applicants and tenants – identification and contact details, tenancy preferences, and the data needed to set up and manage a tenancy. This includes referencing information (employment, income, credit history and previous-landlord references) and Right to Rent data (immigration status and copies of identity documents), which we are required by law to check.
  • Guarantors – name, contact details and the financial and referencing information needed to assess your suitability as a guarantor.
  • Landlords – name, contact and bank details, identity and proof-of-ownership documents, and information about your property and tenancies.

How we use it and our lawful bases

We only use your personal data where the law allows us to. The lawful bases we rely on are:

  • Performance of a contract – to set up and manage tenancies, collect rent, arrange repairs and provide our lettings and management services.
  • Legal obligation – to carry out Right to Rent checks, meet anti-money-laundering and tax requirements, and protect tenancy deposits.
  • Legitimate interests – to respond to enquiries, reference applicants, prevent fraud, keep records and run our business efficiently, balanced against your rights.
  • Consent – for any optional marketing communications. You can withdraw consent at any time.

Who we share it with

We share personal data only where necessary, with: tenant referencing providers; government-approved tenancy deposit protection schemes; our property-management software platform; contractors and tradespeople engaged to carry out repairs and maintenance; and regulators, redress schemes and other authorities where we are legally required to do so. We do not sell your personal data.

How long we keep it

We keep tenancy and financial records for the duration of the tenancy and for six years afterwards. This reflects the limitation period for legal claims and our tax and accounting obligations. Enquiry records that do not lead to a tenancy are kept for a shorter period and then deleted.

Your rights

Under data protection law you have the right to: access the personal data we hold about you; have inaccurate data rectified; have your data erased in certain circumstances; restrict our processing; data portability; and object to processing carried out on the basis of legitimate interests.
